Founded in 2012, Excellent Presence works with clients ranging from large national nonprofits to one- and two-person for-profit consultancies. The company is woman-owned and operates remotely, serving clients virtually worldwide.

Approach

Excellent Presence aims to help mission-driven organizations achieve sustainable success by addressing both their technical systems and strategic planning needs. The studio creates systems that help clients get more done without sacrificing quality, health, or relationships, and empowers clients to build lasting results without being permanently dependent on an expert.

Excellent Presence takes on only a few active projects at a time in order to provide personal attention. It also partners with business incubators, community organizations, and other change agents, documents and shares its methods, and advocates for bartering services when appropriate.

Community commitments

Excellent Presence regularly contributes funds, talent, and time to support causes. Organizations listed among the causes it has supported include the ACLU, BOLD, Color of Change, We The Protesters, Campaign Zero, Prosperity Now, Change.org, the Equal Justice Initiative, Communities United Against Police Brutality, and Khan Academy.

The studio also offers a Founders Growth Grant to help multiple clients per year access high-quality web strategy services that might otherwise be unattainable.

Prices

Payment and Billing Terms

The Service Agreement is between Major Force, LLC, a Florida company doing business as Excellent Presence, and the client. It applies to the company's work, including quick projects, email arrangements, and barters.

Quotes and project start

Rates and offerings may change. Quotes, service rates, special offers, and payment plans must generally be started within 14 calendar days of presentation. Work may begin after the client approves the scope and estimate, the required payment is received, and the required information and materials are delivered.

Payment structure

  • Smaller projects of $5,000 or less: Payment is typically due in full before work begins. Some projects may use two installments: a 50% deposit and 50% at completion.
  • Larger projects: Payment is typically divided into three or more installments tied to project milestones.

The signed Service Agreement Summary and itemized invoice specify the applicable schedule, amounts, and milestone triggers.

Invoices are due within seven calendar days unless different written terms have been agreed. If an invoice remains unpaid, discounts or credits may be removed on day 14, late fees of 4% of the current balance begin on day 31 and recur every 30 days, and accounts may be sent to collections after 90 or more days.

Payment methods and fees

Excellent Presence accepts major credit cards, debit cards, ACH or bank account transfers, and PayPal. Payments by cashier's check or money order sent by postal mail may incur a convenience fee of 7% of the invoice or $100, whichever is less, plus a $60 postal mail processing fee. Returned payments incur a fee of 5% of the invoice amount, with a minimum fee of $100.

All payments must be made in U.S. funds.

Refunds and disputes

Payments are nonrefundable once work begins. If a client cancels during a project, the client is responsible for work completed through the cancellation date. Projects abandoned after 45 or more days without communication also have nonrefundable payments.

A chargeback or payment dispute triggers a dispute processing fee of at least three hours at the project's hourly rate, plus additional time spent beyond that minimum.

Project Policies and Responsibilities

Timelines and client participation

Clients agree to review work, respond to communications, and approve deliverables by their due dates or within seven calendar days when no date is provided. If there is no response or approval within 14 days, the project may be paused and an 8% resumption fee may apply. If there is no communication for 45 days after the last contact, the project is considered abandoned.

Clients must provide requested materials, information, access, feedback, and approvals on time. Excellent Presence cannot be responsible for a missed launch date caused by late materials or approvals.

Changes and revisions

The number of included revisions is specified in the Service Agreement Summary and applies to the approved project scope. Changes requested after approval of a project outline or Website Layout Strategy are outside the original scope and may increase the investment and extend the launch date. Additional requests are generally quoted as a separate phase.

Communication and calls

Important project communication typically takes place through email, video calls, video walkthroughs, project management tools, or the client support center. Phone support is available for sales questions and strategy sessions. Meeting time includes the meeting, preparation, note compilation, and travel time for in-person meetings.

Phone and video calls to and from the offices may be recorded for quality, training, and note-taking. Recordings are kept confidential under the Privacy Policy.

Client materials and content

Clients are responsible for having the legal right to use all text, images, and other materials they provide, maintaining backup copies, and ensuring the accuracy and legal compliance of content published using the deliverables.

Copywriting is included only when specified in the original estimate. Copywriting services, including refreshing, rewriting, proofreading, and editing, are billed separately when not included.

Hosting and rush work

Excellent Presence does not offer website hosting directly, but works with a small group of preferred third-party hosts. Clients may use any web host they choose.

The company typically begins work within three to five business days after receiving the deposit and required materials. Rush service may be available and is billed at the project rate plus 50% to 100%, depending on the requested timeline and scope.

Business hours

The company communicates with clients between 11:00 a.m. and 6:00 p.m., Monday through Friday, Eastern Standard Time. It does not work on weekends or holidays, except that emergencies and rush project phases may be exceptions.
